Renovation Variation Orders: Agree Changes Without Losing Track of Cost

Use a written variation process to track renovation additions, omissions, specification changes and their effects on the project price and programme.

A renovation variation changes the agreed scope after the original quotation or contract. It may add work, remove an item, change a material or respond to a site condition. Before approving it, ask what changes, what it costs and how it affects the rest of the project.

Establish the starting scope

Keep the accepted quotation, drawings, product references and exclusions together. A variation is easier to assess when everyone can identify the original specification. If a drawing and quotation disagree, ask the firm to resolve the difference before relying on either document.

At the start of the project, agree who may request a change and who can approve it for the household and company. This helps avoid instructions being given by someone who does not control the project budget.

Request a complete written variation

Ask for the location, description, quantities, material or product specification and price. Show additions and deductions separately, including the treatment of applicable tax. Identify any related work needed to complete the change, such as electrical adjustments, making good or installation.

For an omission, clarify whether materials have already been ordered or work completed and how any credit is calculated under the contract. Removing an item from a drawing does not automatically establish the amount deducted from the bill.

Record the programme effect

Ask whether the change affects procurement, fabrication, installation sequence or the completion target. A seemingly small finish change can matter if production has already started. Have the firm identify dependencies and the revised decision deadline.

Do not treat an unchanged completion date as implied. Equally, request an explanation of a proposed extension rather than accepting an undefined delay. Keep the approved revision with the updated project documents.

Deal with unforeseen conditions transparently

If opening up an area reveals a problem, request photographs or an appropriate assessment and a description of the proposed response. Clarify what is urgent, what requires further investigation and which options are available. Have the relevant professional advise where technical judgment is needed.

Agree the price and approval route before additional work proceeds wherever practicable. If immediate action is necessary, record what was authorised and why, then reconcile the resulting scope and costs promptly.

Maintain a simple change register

For each variation, record a reference number, request date, description, amount, approval status and timing effect. Keep unapproved proposals separate from committed changes. Update the projected contract total after each approved addition or deduction.

At handover, compare the final bill with the original contract and the register. Ask for supporting documents where an item is unclear. A chat exchange can help record a discussion, but a consistent change document makes the final account easier to check.

Frequently asked questions

Does every change increase the renovation price?

No. Some remove work or substitute a lower-cost item. Request the actual addition or deduction and its basis.

Can I ask for options before approving a variation?

Yes. Ask the firm to explain the practical and pricing differences before selecting the revised scope.
